Abstract Submission

Participants who wish to contribute a paper are requested to submit an abstract 90 days before the commencement of the meeting or as indicated on the main page of the meeting. While authors are asked to nominate a preference for oral or poster presentation, the Organizing Committee will be responsible for selection of the final form of presentation. Authors will be notified of their form of presentation 45 days before the commencement of the meeting or as indicated on the main page of the meeting. Accepted abstracts will be published in the Workshop's abstract book. Abstracts received after the deadline will not be published in the abstract book.


Instructions

  • AN INDIVIDUAL MAY BE FIRST AUTHOR ON MORE THAN ONE VOLUNTEERED SCIENTIFIC PAPER PROVIDED THAT EACH SUBMISSION REPRESENTS DISTINCT RESEARCH.
  • With regard to research using human subjects, Aegean Conferences endorses the protections embodied in the Basic Principles of the Declaration of Helsinki and their expansion in the regulations governing research supported by the U.S. Government (45 CFR Part 46; 56 FR 28003). Aegean Conferences does not endorse and will not publish the results of research that was not conducted in accordance with these Principles. Investigations involving animals reported in abstracts must have been conducted in conformance with the NIH Statement of Principles for the use of animals in research and education.
  • Abstracts should be submitted ON-LINE. Before you start the on line submission, prepare the abstract using our MS Word template following the instructions listed below.
  • If the on line submission is not possible, abstracts can be submitted as an E-mail attachment send to: abstracts@aegeanconferences.org. Please indicate the meeting to which is submitted in the Subject line.
  • If none of the above is possible, abstracts can be submitted on 3.5" disks. Fascimile transmissions (FAX) will not be accepted. On the disk or email, please list the type of file and operating system used, and identify any characters in the text that require special formatting (eg Greek script). Disks should be clearly marked with the author's name. A hard copy of the abstract, together with the disk (if submitting in this form) should be mailed to:

Abstract Preparation Instructions

  • Abstracts can be prepared using our abstract template followed by the instructions below. Save the file as Microsoft Word format.
    IMPORTANT. The file must be named with the last and first name of the presenting author (i.e. SmithJohn1.doc).
  • Abstracts should be accompanied by a complete mailing address, telephone number, fax number, email address of the corresponding author.
  • There is no limit to the individual lengths of the following four sections - Title, Author(s), Institution(s), Abstract, but keep in mind that the total sum of these four sections, inclusive of the abstract body, must not exceed 2200 characters if no tables/figures are included. If one table/figure is included, this is reduced to 1750 allowable characters. If two tables/figures are included, this limit is reduced to 1500 allowable characters. Anything that occupies a physical place on paper such as a space or a punctuation mark is counted as one character.
  • The abstracts should include an informative title, the names and affiliations of all authors (with the presenting author's name underlined). Abstracts should use 12 point Times New Roman font, except for the title which should be ALL CAPS in 12 point Times New Roman Bold. All special characters should be in SYMBOL.
  • Single space entire abstract. Do not use periods after abbreviations or initials. The left-hand border of the abstract's text must be perfectly aligned.
  • Capitalize the title. Do not indent the title. State authors' names using initials only for first and middle names. Include institution, city, and state/country. Omit degrees, titles, institutional appointments, street address, and zip code.
  • The use of standard abbreviations is desirable i.e. rbc, kg, mg, meq%. A special or unusual abbreviation should be placed in parentheses after the first appearance of the full word for which it represents. Numerals rather than words should indicate numbers, except to begin sentences.
  • Include up to three key words that may be typed at the bottom. Indicate the preferred form of presentation (i.e. oral or poster).

Withdrawals and Revisions

  • Abstracts submitted on paper or electronically may be withdrawn until Midnight (EST) 60 days before the commencement of the meeting. Abstracts may not be withdrawn after this date.
  • If you are submitting electronically you can save your abstract for revisions before submitting the final version by Midnight (EST) 90 days before the commencement of the meeting. If you choose to save the abstract for future revisions, save/print the confirmation number. The confirmation number is required for revising your abstract. After the abstract submission deadline, if you need to revise your electronically submitted or mailed abstract you must use a paper abstract form and it must be received by Midnight (EST) 60 days before the commencement of the meeting. Please print "REVISION" in the upper right hand corner

Notification of Programming

The first author will be notified by e-mail 45 days before the commencement of the meeting concerning the following:
Title of session for abstract presentation
Date and time of session
Format of presentation (oral or poster)
Presentation time

Please advise coauthors of the time of the presentation as they will not receive notification


On-line Abstract Submission

New Temporary File: You may start to complete this abstract form any time before the abstract deadline and submit it to a temporary bin for later retrieval and subsequent revision (unlimited). To keep this file for later revision, check "No" at the end of this form where it asks if this is your final submission. You will be issued a Control Number that will be your password to regain access to this temporary file to continue to work on your abstract. You may access this file as many times as you want, but you must check "Yes" on the Revision Page before Midnight EST 90 days before the commencement of the meeting in order for us to consider it as your final submission. Once you have checked "Yes" you may no longer access the revision page for online revisions to your abstract. After you have submitted the abstract as the final version only paper revisions will be allowed.

When To Submit: Due to the fact that the server workload will be quite heavy near the deadline, please consider making your final submission earlier, when the response from our side confirming your submission will be quicker.

Confirmation: Once you have submitted your final version by checking "Yes", your abstract will be deposited in the permanent bin, eliminating your access to it for future revisions. This will be considered your final version of the abstract. If you do not submit until very close to the deadline, it may take longer due to heavy server usage. The Control Number that you received upon your initial save to the temporary bin will be mentioned again in our response. This will be the only Control Number ever assigned to you. You will retain it for the entire duration of the Abstract Submission Process.

Paper Copies: Please DO NOT submit a paper copy of your abstract unless requested to do so.

Revisions: After you have checked "Yes" to submit the final version of your abstract, only paper revisions will be allowed. Please see the abstract submission rules.
